Checkbox

Location on ribbon: Tab DVD Addin → Group Text and Number → arrow on Numbering → section Bullets

Command ID: btnCheckbox

What it does

Prepends an empty checkbox ☐ plus a space to every line inside the selected cells. This is a Unicode character living in the cell text, not an ActiveX or Form control — so it prints exactly as it looks on screen, travels with the cell when you copy, sort, or filter, and adds nothing to the file size.

That makes it ideal for checklists printed and handed out on site: pre-pour inspection lists, start-of-shift safety checks, or the document register for an acceptance handover.

How to use

  1. Select the cells holding the items to be checked.
  2. Go to the DVD Addin tab → Text and Number group → arrow on Numbering → Bullets section → choose Checkbox.
  3. The add-in strips any existing bullet first, then handles each cell:
    • Text cell — each line is trimmed of surrounding whitespace, then ☐ is added at the start.
    • Empty cell — just ☐ is written, ready for you to type after it.
    • Formula cell — wrapped as =""&"☐ "&(original formula), so the box shows while the formula stays live.
  4. The status bar reports Processed N cells (checkbox ☐).

On paper, the inspector ticks the box by hand. Back at the computer, select the completed rows and click Checked to turn ☐ into ☑.

Illustrated walkthrough

Practice

Download this command's sample workbook — the data matches the pictures below (sheet Checklist), so you can follow each step right away.

Step 1. Select the items to turn into a checklist (1).

Step 1

Step 2. On the ribbon, open the DVD Addin tab → Text and Number group → open Numbering → choose Checkbox.

DVD Addin ▸ Text and Number ▸ Numbering ▸ Checkbox

Step 3. The Confirm data change box tells you how many cells will be overwritten. Keep Back up sheet ticked (1) so that Ctrl+Z right after the command restores the sheet, then click Continue (2).

Step 3

Step 4. Every line now starts with an empty box ☐ (1) — it is a character inside the cell text, so it prints exactly as shown and inspectors tick it by hand on site. The status bar reports how many cells were processed (2).

Step 4

Example

A pre-pour inspection checklist for a third-floor slab:

BeforeAfter
Rebar diameter and spacing as per drawing
Spacer blocks in place, correct cover
Formwork tight and adequately propped
Formwork cleaned and dampened
☐ Rebar diameter and spacing as per drawing
☐ Spacer blocks in place, correct cover
☐ Formwork tight and adequately propped
☐ Formwork cleaned and dampened

Notes

  • The box is a character in the cell text, not a clickable control — to change its state, run Checked or Rejected on that row.
  • Each line is trimmed before the symbol is added, so lines you indented with leading spaces lose that indentation.
  • Cells holding numbers, dates, or TRUE/FALSE are skipped entirely.
  • Applied by mistake? Ctrl+Z right after the command puts the cells back (it backs the sheet up first); later on, use Remove bullets to remove the boxes.
  • Hidden rows and columns are skipped, and each merged area is processed once, at its top-left cell.
  • Checked — move an item to the completed state ☑.
  • Rejected — flag an item as failed or rejected ☒.
  • Remove bullets — strip every symbol, checkboxes included.
  • Filled circle — for lists that only enumerate and need no ticking.
